Job Description

The Sr. Office Services Specialist manages the work of the front desk operations and meeting spaces of the Virginia Tech Transportation Institute (VTTI). This position will provide a high level of customer service and operational support to Facilities / Administrative offices and project a positive image of the office and VTTI. Serves in an assistant capacity for Facilities. Assists with various VTTI events and functions. Will provide friendly and professional service to faculty, staff, students, candidates, participants, and visitors of VTTI soliciting information and direction on personnel, professional related matters. Responsible for coordinating the activities associated with the front desk and conference rooms of VTTI. Duties include the shipping, receiving and distribution of all mail and freight; conference room and event scheduling and setup, event hospitality scheduling and provisioning, tracking of invoice requirements for events, processing various purchase requisitions, and providing operational support to the VTTI enterprise. The Sr. Office Services Specialist assures that front desk is always covered by personnel during core business hours. At times, will assist with areas of scheduling and coordinating candidate travel arrangements, confirming interview itineraries, and other special projects as assigned. Will be responsible for providing support to fiscal and office administrative duties such as processing purchasing/travel requisitions, labor coding, fund reconciliations, copying, scanning, filing, shredding, and faxing. This position will be responsible for making deliveries to other VTTI local locations as well as to campus averaging at least once per day.

Required Qualifications

- Prior experience working in a professional office or customer service environment with experience and comprehensive working knowledge of office practices and procedures.
- Demonstrated experience with computer software programs such as word processing, spreadsheet, presentation and email utilities.
- Experience providing administrative and clerical support to various levels of staff.
- Ability to develop working relationships with all levels of staff and a variety of external stakeholders.
- Ability to handle confidential activities, prioritize activities, and prepare business correspondence using proper business grammar.
-Ability to multitask.
- Must be able to obtain a university purchasing card within one month of job commencement.
- Valid VA Driver's License or ability to attain required.

Preferred Qualifications

- Knowledge of enterprise systems for procurement and travel actions.
- Experience providing administrative support in an academic or research environment.
- Experience scheduling, assisting, and/or coordinating events.
