Job Description

To provide support for Associate Services and employee relations functions.

Responsibilities
    Manages all data entry (hires, terminations, secondary job code...etc) into the HRIS system.
  • Champions Omni Six Pillars Culture on property, and enthusiastically promotes opportunities within the hotel and company.
  • Act as liaison for all associates.
  • Act as a back-up to participate in stand-up meetings with managers.
  • Assist with the development of associate communication networks within the resort, via bulletin boards, department communication boards, posters and flyers.
  • Participates in planning and execution of associate events planned by the Associate Services Department.
  • Participate in orientation presentation and/or tours as needed.
  • Assist with organization of training programs and maintaining tracking logs.
  • Works with departmental management to ensure that Safety Training is alive and well in departmental meetings, stand up meetings, and in the consciousness of each hotel associate.
  • Maintain orderliness of office supplies and equipment.
  • Answer phones and handle phone inquiries.
  • Type memos and other correspondence.
  • Complete other duties as assigned by management.

Specific Functions:

  • Welcome interviewees to the property and provides timely communication on how recruiting team should proceed following interviews.
  • Ensures all paperwork is properly signed and documented.
  • Prepares orientation packets, making sure all necessary paperwork is included.
  • Notifies candidates and managers of orientation schedule
  • Assist with job fairs as needed.
  • Assist with preparation of orientation
  • Enters all employee information into Ultipro accurately and timely for payroll purposes and seniority for benefits eligibility.
  • Routes Direct Deposit or Pay Card Information.
  • Initiate and complete I-9 verification through HireTech.
  • Organizes employee documentation into appropriate files and binders.
  • Assists associates with Ultipro questions and office computer use.
  • Assists associates as necessary with badges, paperwork, questions.
  • Pulls active files and binder documents and creates termination file.
  • Maintain files according to check lists making sure all documentation is provided prior to filing.
  • Alternate daily - spending 1 hour organizing files
  • Prepares weekly activity reports showing new hires, transfers, and terminations for that week.

Physical Requirements:

  • The ability to sit and utilize telephone/computer for an extended period.

Tools and Equipment:

  • Computer, copy/print/scan/fax machine, files
  • Microsoft Office, UltiPro, HireTech, iCims, Birchstreet, Concur, Sertifi

Working Environment:

  • Office environment with frequent travel around property.

Qualifications
  • Must be flexible with schedule to include some weekends.
  • Must be proficient using Microsoft Office Products.
  • Must have outstanding verbal and written communication skills and the ability to coach, counsel, advise, mentor, and motivate associates and managers at all levels.
  • Two years of Human Resource experience or equivalent required.
